About the client

The West Midlands Combined Authority (WMCA) is a collaboration of 18 local councils and three Local Enterprise Partnerships (LEPs) working together to drive growth and innovation in the region.

What they needed

WMCA wanted to modernise their first-floor meeting spaces, which included a boardroom, multiple meeting rooms, and a council chamber. Their key priorities were:

Wireless presentation – seamless connectivity for teams and guests

Delegate conferencing – high-quality audio and video for effective discussions

Flexible collaboration – technology that works for any room size or setup

The Brief

The goal was to refresh all meeting spaces with a standardised, user-friendly AV system. The solution had to ensure a consistent experience across all rooms, making it easy for anyone to walk in and start a meeting - no tech headaches.

Microsoft Teams Rooms (MTR) was chosen as the platform, with new front-of-room UHD displays and MTR-certified peripherals installed throughout. This upgrade improved functionality, clarity, and ease of use across all spaces.

What we delivered

Working closely with WMCA and our partners, we transformed their meeting areas into modern, collaborative workspaces with high-performance AV solutions. The project covered:

Small Meeting Rooms – equipped for seamless virtual and in-person collaboration

Large Boardroom – optimized for executive meetings and larger discussions

Divisible Meeting Room – flexible space with tech that adapts to different layouts

The impact

To support today’s way of working, WMCA needed a setup that worked just as well for people in the office as it did for remote participants. The new meeting rooms:

Encourage effortless collaboration – Teams can meet, present, and share ideas without tech barriers.

Support seamless hybrid meetings – High-quality video and audio ensure that remote participants feel just as present as those in the room.

Create a more dynamic workspace – Upgraded meeting areas now serve as flexible co-working hubs, making it easy for interdepartmental teams, visitors, and clients to work together.

By modernising their AV setup, WMCA has future-proofed their meeting spaces, ensuring that teams can communicate, collaborate, and innovate, no matter where they are.
